The individual records for any People, clients, lenders, agents, etc.

  • Gray ribbon across the top – Buttons for sending a vCard or Adding New Person (View/Edit Form only).
  • Status – Select a Status for the Person
    • Prospect – Not committed to us yet, perhaps hasn’t signed an agreement yet.
    • Client – Committed to us, perhaps has signed an agreement.
    • Denied – We have refused or chosen not to work with them.
    • Lost – They have refused or chosen not to work with us, or disappeared!
    • Not our client – Select this for a Person who is on the other side of our transaction, represented by another agent not on our team.
    • N/A – Select this for those who don’t fit the other statuses (Escrow Officers, Loan Officers, other agents, vendors, etc.). If these become a client (ie – Escrow Officer using us to sell her home), then change their status to Client.  A Person can only have one status.
  • Active – A person must have a status of Active (box checked) in order to appear on the dropdown lists for Buyers or Sellers, and other Roles. This box is checked by default but may be unchecked later if a Buyer closes a transaction and is no longer an Active Client.  Their assigned or selected roles on past transactions will not change when they are unchecked and listed as inactive, but Active must be checked in order to initially assign them to a transaction.
  • Email, Phone, Text/SMS, Mail – Simply a reminder as to preferred methods of contact for the contact. These selections are not used elsewhere in the WebApp.
  • Roles – Select the role of each Person. Use N/A if not applicable.  Roles determine where in the WebApp a Person can show up.  Persons can have multiple roles selected by holding down Control.  Referral Agent or Working Agent is for an agent on your team only, Agent is used for all other non-team agents.
  • Company – Select the company a Person represents if applicable. Multiple companies may be selected, and Users may enter a new company if necessary.  Companies determine the trade of an individual vendor.  Trades are assigned to a company.
  • Employee/User, Associated User – IF SHOWN (only displayed if Admin designated User). If checked this Person is associated with this team as an employee or 1099 employee.  If so, then Admins may select the User he is identified with (their name from the Admin/Members List).
  • Lead Source – Where the client came from for tracking purposes. Lead sources can be edited and added to by Admins in the Business Dashboard/List Management section.
  • Outside Agent, Referral Source, Referral Agent, Working Agent – Tracking of who is referring business to you.
    • Outside Agent – not on your team but may be a part of your brokerage. An agent who IS being paid a referral fee by you.
    • Referral Source – a person who IS NOT being paid a referral fee. Could be an agent or just a friend or referring client.
    • Referral Agent – an agent on your own team or group who is getting paid a referral fee but not working the client.
    • Working Agent – you, the agent who will actually be working with the buyer or seller.

 

  • Client Relationship Manager – Rate your clients and select the frequency you’d like to stay in touch with them at. This will auto-fill the column on the People page and the Home page for reminders.  You can override the next contact date (which is set by the Frequency) manually if desired.  If you leave Select One in the Frequency, the WebApp will not auto fill the Next Contact date.
  • Delete – only usable by designated Admins. Deletes the record.  May be recovered from the Review/Revert Changes page in Admin.
  • Addresses – A list of all addresses and properties for this Person and the address Type. To list a particular address for sale, open it by clicking on the Edit pencil and then check the For Sale by Us box at the top of the page.  Selecting Display next to the address will print it on the Profile printout.  You may select the Property Type when entering it.  Property Types are editable by Admins on the Business Dashboard/List Management page.  The system will remember even Sold Properties that were once attached to this Person.  You may want to have a Type of Sold to show that.
  • Phone Numbers and Emails – Enter as many as desired with names. Checking Primary will display that one on the main People page with a hot link for the email.  There can only be one Primary for each section.
  • Docs – A link to important docs in DropBox associated with this Person.
  • Notes – Newest notes are listed on top, excepting if one is checked “Always on top”. Always on top will hold a note on top and in RED for special emphasis.  Use this note for special contract notes that you want to see at a moment’s notice (ie – certain items that do not convey with a sale, or special instructions that may be needed in the heat of battle!).
